Pivot Fairy Coaching Policies
At Pivot Fairy, I believe in creating a supportive and professional coaching relationship built on clarity and mutual respect. The following policies are designed to honor both of our time and energy.
Please read carefully before booking your session.
Scheduling
Sessions may be scheduled an via the online scheduling system.
Cancellations
If the Client needs to cancel a session, the following refund structure applies:
· 7 or more days in advance: Full refund minus a $25 processing fee.
· 3 to 6 days in advance: 50% of the session fee will be refunded.
· Less than 72 hours before the session: No refund will be issued.
No-shows are considered cancellations without refund.
If the Coach initiates cancellation, the Coach will provide reasonable notice and, where appropriate, partial or full refund and assistance to the Client in transitioning to another coach or resource.
Rescheduling
Life happens. The Coach will make a best effort to accommodate reasonable changes. The Client may reschedule the session up to two times, as long as the request is received before the session start time.
Sessions cannot be rescheduled after the scheduled start time, and will be considered forfeited without refund.
To reschedule, the Client may use the link provided in the confirmation e-mail or reach out directly to info@pivotfairy.com if there’s trouble accessing the system.
Discovery Calls
Free discovery calls may also be rescheduled up to two times with at least 24-hours’ notice. No shows will not be rescheduled.
Refunds
Refunds (when applicable) will be returned to the Client’s original payment method. Please allow 5–10 business days for the transaction to appear, depending on the financial institution.
Confidentiality and Conflicts of Interest
The coaching relationship is based on open communication and trust. Client information and communications shall be confidential. The Coach will communicate with the Client at the personal e-mail address designated by the Client. When the coaching relationship is complete, the Coach will keep notes for six months before securely disposing of them. The Coach may have a Mentor Coach from time to time, and this involves discussing in general terms how the Coach works with the Clients circumstances.
The Coach may pursue additional credentialing, which requires submitting a log of coaching hours. The Client hereby gives permission for the Coach to include the Client name, e-mail address, telephone number, and coaching hours in the log. The Client also agrees to have coaching sessions recorded for the purposes of review by the Coach and the Coach’s Mentor Coach.
If there is something that could be perceived as a conflict of interest, the Coach will identify this to the Client and explore whether there is interest in continuing the coaching relationship.
📦 Multi-Session Package Policy
For clients booking a 4- or 8-session coaching package, the following terms apply in addition to the standard cancellation and rescheduling policy.
🗓️ Scheduling Your Sessions
Sessions can be booked on a weekly or bi-weekly basis to match your pace and availability. Clients will receive a private booking link to schedule sessions at their convenience, or during the initial session.
To maintain progress, all sessions must be used within:
3 months for 4-session packages
6 months for 8-session packages
If the Client needs a longer timeline, the Coach will make a reasonable effort to accommodate the change with advance notice.
Rescheduling
Each session may be rescheduled up to two times, as long as the request is made before the scheduled start time.
Missed sessions or last-minute reschedules (within 24 hours) may be forfeited.
Cancellations and Refunds
Multi-session packages are non-refundable once the first half of the package has been completed. A partial refund may be issued for packages that are less than 50% complete.
If the Client cancels before the first session, a refund may be issued minus a $25 processing fee.
Unused sessions expire after the package time frame (3 months or 6 months, respectively), unless an extension was arranged in advance.
Coaching Is a Partnership
Coaching is a process in which the Coach is a strategic partner of the Client. Coaching is client-focused and client-driven with the Client choosing their priorities and action steps. The Coach serves to explore perspectives, create focus and clarify intention while empowering the Client.
Coaching is most effective when both parties come prepared and committed to the process. To get the most out of the session, please review prep materials provided and take time to reflect on your goals beforehand.
A coach is not an attorney, an accountant or mental health professional, and does not give advice; legal, financial or otherwise. Coach and Client agree that the Coach may share examples for perspective, and the Client makes all choices and decisions autonomously.
The Coach is a member of the International Coaching Federation (ICF), and agrees to model the behaviors associated with the ICF Standards of Conduct and Ethical Guidelines.
